Configuring Outlook 97
You will need to open up Outlook 97 and click on the menu called Tools. From there you should select Services, to see a screen that looks like the screen below.
Notice that we have Internet Mail highlighted - if you don't see that as a choice, you'll need to Click on Add, and then select Internet Mail.

Select Internet Mail by clicking on it, and then click on the button labelled Properties. Fill out the information given below, making sure you change the parts that are unique to your account.

Full Name: Your Name
E-mail address: username@DomainName.com
Internet Mail server: www.DomainName.com
Account Name: username
Password: your account password

There are also two other buttons on this screen, Message format (where nothing needs to be changed) and Advanced Options.
Click on Advanced Options now.

and enter your domain name "www.YourDomainName.com"

Click on Ok to return to the previous screen.

Now Click on the Connection Tab,

You have two options here. You should select Connect using the modem. You will then be given a list of the connections available.

Select the appropriate connection. We recommend that you tick the box Work off-line and use Remote Mail. This will prevent Outlook from automatically trying to dial up every 10 mins.

Now click on Login As.

Enter your username and password in the appropriate boxes.
Click on Ok to return to the previous screen.

Click Apply, then click on OK. Outlook will inform you that you have to exit the program and restart it for the changes to take effect, so please do that. To check your mail you need to click on Tools and Deliver Now. This will send any mail that you have written and check for new mail.

Viewing and Sending Email
The main screen looks like the one in Figure 6. There are two main areas, or windows - the Outlook bar on the left, and the contents of the folder that's been selected on the right.

You can also have a folder list displayed, to activate this click on the icon as shown below. You will see a top level folder called "Personal Folders." If it's not expanded out, clicking on the "+" sign next to it. You should see several folders under the top one - the In Box, the Out Box, the Deleted Items, and the Sent Mail folders as well as others. The names are pretty descriptive of what you'll find in each one. For now, we're mainly interested in the In Box, so click on it to open it now.

If you're already logged on, Outlook may have already checked your mail on our server. If not, click on the Tools menu and choose Check for New Mail. If you have more than one type of service set up for Outlook, you will see Check for mail on. Select this and then you will see a list of choices, such as Microsoft Fax, Internet Mail, etc. If so, choose Internet Mail. The Deliver Now choice will send any messages in your Out Box, and also will check for new mail.

Viewing Mail in the Inbox
If you have mail, you'll see a screen like the one in Figure 7. If there are several messages in the In Box, the new ones will be in bold type, and ones you've already seen will be in normal type. There is a row of very thin buttons above the actual messages with titles like From, Subject, and Received, and pictures of a paper clip, an exclamation mark, and an envelope. Clicking on these will sort the messages according to their priority (the ! Symbol), message info (the envelope), attachments (the paperclip), Sender's name, Subject, or date and time Received.

Outlook gives you an Auto Preview facility, which allows you to see the first few lines of the message. To open the message to see the remainder, double click on that message's line in the In Box (or which ever Box you're in). From here you can see info about who sent the message (in the grey area at the top) and the message itself.

There are a lot of options you have at this point. You can delete the message (click the button that looks like an "X"), print the message (this button looks like a printer), or move the message to a different folder (the button that looks like a piece of paper going into a folder). Outlook has a deleted messages folder that works in the same way as the Windows recycle bin. if you right click on it you can remove deleted messages, or you can open it and recover a message that you might have deleted by accident.

You can set up a reply to the message by clicking on the Reply button, or forward the message by clicking on the Forward button.

Replying to Email
A reply looks like the image below; the original message is quoted, but indented from the rest of the message. The cursor will be at the beginning of the area where you can type. The E-mail address of the person who wrote the original message will already be on the To: line (if they have their real name in the original message, that's what you'll see). The subject will be filled in for you as well, based on the original message.

Using the buttons at the top of the Window, you can change all sorts of things. - The colours you type with, make the font bold or italic, all of which is very nice. - Except that unless the person receiving your mail is also using Outlook, they won't see all that fancy stuff. They'll just see the normal text of your message.

You can also attach a file to the mail you're sending, by clicking on the button that looks like a paperclip and finding the file you want to attach.

New Email
Starting a new E-mail is easy - from the main Outlook screen, just click on the button that looks like an envelope with a letter in front of it. For a new E-mail, you'll have to supply the E-mail address of the recipient yourself, as well as the subject line.

You can also set up new folders for storing emails that you want to keep, so your inbox doesn't become unmanageable. To do this, click on the Personal Folders line in the folder list to highlight it, click on the File menu and select New Folder. At all times, when using Microsoft Outlook, online help is available. just press the F1 key on your keyboard.
